Overview:
Fairly filling available camper slots when you have more
applications than available openings has always been a nightmare.
How do you decide who gets in and who doesn't? First come, first
served? Sounds good but how do you actually rank the mail stack?
Postmarks? Position in the stack? How do you convince parents
they got a fair shake when their child doesn't make the cut?
Well, our friends at Laity Lodge Youth Camp had the same problem

applicants for every slot. We developed an on-line system for
parents to fill out all the pertinent information ahead of time
so, when registration day arrives, all they have to do is click
the submit button. Parents are instantly notified of their child's
or children's placement.
All camps are filled and waiting lists are generated in real-time.
Last year, over 90% of the campers were placed within the first
10 minutes. Because LLYC has staggered registration periods
for different types of applicants (alumni, alumni siblings,
last year's wait listers and new campers), they were able to
give preference according to status and the computer determined
their order of entry. A very fast, efficient and fair system
for all.
An additional benefit for both parents and the camp was using
the camp's database to pre-populate the registration form and
allowing parents to make any corrections on-line. When the registration
period was over, the camp had a newly updated camper database
for other marketing and communications activities.
Features:
- Allow early registration. If you would like to
give an opportunity to campers who were on
last year's wait list, you can set up a period for them to come in
and register first with system generated access codes.
- Parents can fill out their applications on-line (Parent
Info, Camper Info, Camp Selection, Scholarship Application
and Credit Card/Check Payment Info), save and come back
anytime to complete it.
- If your camp is in high demand and parents are competing
to register their kids, you can allow parents to fill out
all information in advance and set the date and time
for them to come back to submit their applications.
- Display confirmation on-line in real time and send email
notification of acceptance or waiting list position
once their application has been submitted.
- Parents receive an email notification of movment from
waiting list to accepted list.
- Parents can make subsequent payments on-line.
